Event Guidelines

 

Establish an Organizing Committee
· Members of your organization
· Professionals from the community
· Other organizations
· Dignitaries or celebrities

Decide on an Event
· Please note the focus of the 2000 campaign is safety equipment

Identify a Target Audience
· Youth
· Parents
· Coaches
· Program administrators
· Health professionals
· Media

Set the Date
· Note local calendars for possible conflicts
· Take into consideration school vacations

Select a Facility
· Visit the possible sites and compare advantages

Develop a Budget
· List every possible expense you might occur in putting on the event including:
· Printing
· Honorariums
· Postage
· Graphic services
· Advertising specialties
· Photographer
· Audio visual services
· Marketing
· Facilities

Create a Time Table
· Work backwards from the date of the event
· Allow enough time for printing and mailings

Select Speakers or Celebrities
· Make sure to get a confirmation in writing
· Allow plenty of time for scheduling
· Plan on giving an honorarium

Compile a Mailing List
· Get names from everyone on the committee
· Borrow mailing lists from other organizations

Secure Corporate Sponsorship
· Approach local companies for sponsorship of the event
· Offer them visibility and signage

Order Advertising Specialties
· Gives visibility to your organization and cause
· T-shirts, pens, buttons, etc.

Plan Door Prizes or a Raffle
· Increases attendance

Publicize your Event
· Press releases
· Public service announcements
· Bulletin boards
· Local television and radio talk shows
· On line services
· Flyers
